Frequently asked questions

Everything you need to know about working with Pivot Bookkeeping Solutions.

Do I need to be based in Queensland to use your services? +

Not at all. Pivot Bookkeeping Solutions is a fully remote bookkeeping service operating entirely online. I provide remote bookkeeping services to small and medium business owners across Australia, from Queensland to Western Australia and everywhere in between. All you need is an internet connection.

What software do you use? +

I work exclusively in Xero. Every client is set up and managed through Xero, which is Australia's leading cloud-based accounting software. If you are not already on Xero, I offer Xero setup and migration as part of my services so we can get you up and running properly from day one.

Do I need to be on Xero already? +

No. If you are on another platform, using spreadsheets, or have no system in place at all, I can migrate you across to Xero and set everything up correctly from scratch. Working in Xero means your books are accessible online at any time, from anywhere in Australia.

Are you a registered BAS agent? +

I work under the direct supervision of a registered BAS agent while completing my hours toward my own registration. All BAS preparation and lodgements are reviewed and authorised by a registered BAS agent, so you can be confident your obligations are being met in full compliance with ATO requirements.

Are you qualified? +

Yes. I hold a Bachelor of Business in Accounting and have extensive experience working with small businesses across a range of industries. I work exclusively in Xero and stay current with ATO requirements, GST obligations, and compliance standards. Providing accurate, reliable bookkeeping is the foundation of everything I do.

What is the difference between a bookkeeper and an accountant? +

A bookkeeper keeps your financial records accurate and up to date throughout the year. An accountant typically steps in at tax time to prepare your return and provide higher level financial advice. The two roles complement each other. As your remote bookkeeper I handle the day-to-day management of your books and liaise directly with your accountant at tax time so everything is in order when they need it.

Why should I use a bookkeeper instead of doing it myself? +

Most business owners are too busy running their business to keep on top of their books. Falling behind leads to missed BAS deadlines, ATO penalties, and costly surprises at tax time. An online bookkeeper keeps everything current so you always know where your business stands financially and you can focus on what you do best. For small and medium businesses across Australia, remote bookkeeping is one of the most practical and cost-effective ways to stay compliant and in control.

How does the pricing work? +

I offer fixed price bookkeeping packages based on the transaction volume and complexity of your business. Every business is different so pricing is discussed during your free discovery call once I understand your needs. There are no hidden fees and no surprises. Full transparency from the start.

Is there a lock-in contract? +

No. I operate on a simple service agreement with no lock-in period. You are free to cancel at any time. My goal is to earn your ongoing business by doing a great job, not by locking you in.

How do we communicate if everything is remote? +

I am available by phone, email, and video call. Being a fully remote bookkeeping service does not mean being hard to reach. I am responsive and easy to get hold of, which is something I take seriously. You will not be chasing me for answers.

How often will you access my Xero file? +

That depends entirely on your business needs. As your online Xero bookkeeper I can access your file as often as required, whether that is daily, weekly, fortnightly, monthly, or quarterly. We discuss the right frequency during onboarding and adjust it as your needs change.

What reports will I receive? +

At the end of each reporting period you will receive a standard set of financial reports including a Profit and Loss statement, Balance Sheet, and Cash Flow Statement. These give you a clear and accurate picture of how your business is performing. A BAS summary is also provided following each lodgement. If you need additional reports these can be discussed during your free discovery call.

What is catch up bookkeeping? +

Catch up bookkeeping is for businesses that have fallen behind on their records. If you have weeks, months, or even years of transactions that have never been entered or reconciled, I can work through the backlog and get your books fully up to date. This is one of the most common situations I help small business owners with across Australia.

What is a bookkeeping clean up? +

A clean up is different to a catch up. Your books may be up to date but full of errors, incorrect categorisations, duplicate entries, or GST coding mistakes. A bookkeeping clean up involves going through your Xero file, identifying the problems, and correcting everything so your records are accurate and reliable going forward.

Can you help if my books are in bad shape? +

Absolutely. Whether you need a catch up, a clean up, or both, I can assess your Xero file and get things back on track. Many of my clients come to me in exactly this situation. There is no judgment, just practical help to sort it out.

What happens at tax time? +

I liaise directly with your accountant at tax time and provide everything they need to prepare your return. Having accurate, up to date books maintained by a Xero bookkeeper throughout the year means tax time is straightforward rather than stressful. If you do not have an accountant I can refer you to one.

Can we meet face to face? +

While Pivot Bookkeeping Solutions operates as a fully remote bookkeeping service, I understand that some clients prefer a face to face meeting. I am based on the Sunshine Coast in Queensland and am happy to try and facilitate an in person meeting where possible. For clients interstate or in regional areas, video call is always an option as a practical alternative.

How do I get started? +

Book a free discovery call via the Calendly link on this website, or reach out by phone or email. We will have a no-obligation chat about your business, your current books, and what you need. There is no pressure and no commitment required.

No pitch. Just a conversation.

I don't do pushy sales calls or hidden fees. Just a genuine chat about where your business is at and whether I can help.
